Project Overview​

Fred Porter is a prominent real estate firm in North Colorado. As a Real Estate CRM Specialist at the company, my responsibilities include: Building and designing email campaigns, Cleaning and maintaining existing leads databases, Setting up onboarding automation and other complex automation to map out customer touchpoints and improve customer lifecycle, Integrating the brand’s CRM (Close CRM) with Mailchimp and other data sources using APIs, Optimizing the sales pipeline process and driving engagement using lead scoring, Conducting A/B split tests on CTAs, subject lines, and preview texts.

Project Objectives

Database Management and Organization:

  • Cleaning and organizing the existing contact database into tags and segments for tailored email nurturing and customer retention efforts.

Technical Integration of Lead Sources:

  • Mapping, configuring, and integrating all lead sources into a single database in Close CRM from platforms like Zillow and Mailchimp.

Email Strategy and Copywriting:

  • Developing a personalized strategy and writing compelling sales copies to win back old leads, and nurture and grow new leads by aligning YouTube content with email campaigns.

Email Template and Campaign Design:

  • Designing optimized templates tailored to different segments of target audiences to maximize conversion.

Ongoing Management and Collaboration:

  • Providing continuous management of the CRM, Collaborating with the Business Director every month to develop new content and strategies.

Performance Reporting and Improvement:

  • Analyze campaign performance and provide actionable insights for continuous improvement.

Service Delivery

Database Cleanup and Segmentation:

  • I Exported existing contacts in a CSV file and leveraged email cleaning tools to remove duplicates, inactive leads, incorrect emails, and unsubscribed contacts. The whole cleaning process led to an increase in email deliverability by 12% in the first month, a lowered bounce rate, and a reduction in unsubscribe rate within two months.

Email Campaign Design:

  • I designed email templates and campaigns that reflect the firm’s branding and messaging and tailored to the target audience by aligning email content with YouTube videos and proper linking of call-to-action buttons.

Workflow Development:

  • I developed automated workflows for different types of email campaigns, such as welcome emails, property updates, and newsletters.

Performance Monitoring:

  • Using the CRM’s analytical dashboard, I tracked metrics such as open rates, click-through rates, bounce rates, unsubscribe rates, and conversions.

Result Generated

  • Increased Engagement:
    Higher open and click-through rates due to personalized and relevant content.
  • Improved engagement with leads, resulting in more inquiries and interactions.

Enhanced Lead Nurturing:

  • Effective segmentation and tailored content help nurture leads through the buying process. Increased chances of converting leads into clients.

  • A well-organized contact database and automated workflows reduce manual effort.
